Chairperson

Job Purpose

To represent the Portsmouth Netball Association Committee and to drive its vision and objectives forward.

Expected hours

Up to 2 hours a week plus County meetings 1 per quarter, Committee meeting 1 per quarter and PNA meetings up to 4 per year.

Responsibilities

1. Be a full non-voting member of the PNA Committee and in carrying out duties be at all times responsible to the PNA Committee;
2. Oversee the Committee in carrying out the vision of PNA;
3. Chair Committee meetings;
4. Chair PNA meetings;
5. Be responsible for the conduct of the Committee in managing the affairs of the PNA;
6. Review financial accounts with the Treasurer on regular basis; the period between two reviews not to exceed 6 weeks;
7. No policy decisions may be taken until approval is received from the whole Committee;
8. Uphold the PNA disciplinary procedures;
9. Issue written appeal decisions;
10. Co-ordinate the work of the PNA Committee;
11. Be completely familiar with the Constitution and Bye-Laws of PNA;
12. Prepare the Annual Report for submission to PNA at the AGM;
13. Attend County meetings.
14. Produce a written report for PNA meetings. If unable to attend, the report must be sent to the Secretary;
15. Use the PNA website to promote items of interest via notices;
16. Be responsible for monitoring and responding to communications received using the PNA Chairperson email account.

Coaching Secretary

Job Purpose

To provide a strategic vision to the coaching in Netball participation for Portsmouth Netball Association.

Expected hours

Two hours a week plus Committee 1 per quarter and up to 4 PNA meetings per year.

Responsibilities

1. Be a full voting member of the PNA Committee and in carrying out duties be at all times responsible to the PNA Committee;
2. Work together with the Committee on carrying out the PNA vision;
3. Support the development of and implement a regional strategy for supporting and developing coaches in PNA;
4. Develop a structures for coach mentoring;
5. Book venues/tutors/supplying all necessary requirements for coaching courses;
6. Collect monies from all participants attending courses and pass to Treasurer;
7. Work with communications officer to raise the profile of coaching in PNA;
8. Produce a written coaching report for PNA meetings. If unable to attend, the report must be sent to the Secretary;
9. Use the PNA website to promote coaching items of interest via the specific coaching webpage and notices;
10. Participate in disciplinary meetings as required;
11. Be responsible for monitoring and responding to communications received using the PNA coach email account.
12. Liaise with the Treasurer over fees, expenses and other finance matters.

League Secretary

Job Purpose

To create and maintain the fixtures for each season.

Expected hours

20 hours a week prior to the start of a season and then two hours a week plus attending Committee meetings, 1 per quarter and up to 4 PNA meetings per year.

Responsibilities

1. Be a full voting member of the PNA Committee and in carrying out duties be at all times responsible to the PNA Committee;
2. Work together with the Committee on carrying out the PNA vision;
3. Liaise with the Treasurer over fees, expenses and other finance matters regarding league entry fees and court fees;
4. Be responsible for creating fixtures for each season based on the number of team entries and the number of divisions;
5. Book playing venues for the season;
6. Create and produce fixture booklets for each team and Committee member to include venue locations, contact details for Captains, Committee members and umpires and issue at pre-season meeting;
7. Reschedule matches as required throughout the season and disseminate the information to the relevant contact points;
8. Produce a written league report for PNA meetings. If unable to attend, the report must be sent to the Secretary;
9. Participate in disciplinary meetings as required;
10. Use the PNA website to promote items of interest via the webpage and notices;
11. Be responsible for monitoring and responding to communications received using the PNA league email account.

 

Registration Secretary

Job Purpose

To maintain an accurate list of all players eligible to play in the PNA league.

Expected hours

Three hours a week plus 1 Committee meeting per quarter and up to 4 PNA meetings per year.

Responsibilities

1. Be a full voting member of the PNA Committee and in carrying out duties be at all times responsible to the PNA Committee;
2. Work together with the Committee on carrying out the PNA vision;
3. Agree the registration policy with the Committee prior to the start of a season and disseminate the decision to Team Captains no later than at the pre-season meeting;
4. Ensure that each player has a valid completed PNA registration form and that the PNA website is updated within 1 week of receipt of new registration forms;
5. Liaise with the affiliation secretary to ensure that all players have been affiliated before their first game in the PNA league;
6. Within 1 week of a team playing, compare the signature of each player listed on the team’s match sheet with the player’s specimen signature on the PNA registration form.;
7. Where the match sheet signature of a player does not match their specimen registration form signature issue a penalty notice to the team captain, using the PNA template, prior to the team’s next game;
8. Update the PNA website with any registration point deductions and fines when a penalty notice is issued;
9. Produce the required evidence to the Committee for any registration appeals;
10. Produce a written registration report for PNA meetings. If unable to attend, the report must be sent to the Secretary;
11. Participate in disciplinary meetings as required;
12. Use the PNA website to promote registration items of interest via the webpage and notices;
13. Be responsible for monitoring and responding to communications received using the PNA registration email account.

Secretary

Job Purpose

To maintain an overview of Portsmouth Netball Association secretarial affairs including communications.

Expected hours

Up to 2 hours a week plus Committee meetings 1 per quarter and up to 4 PNA meeting per year.

Responsibilities

1. Be a full voting member of the PNA Committee and in carrying out duties be at all times responsible to the PNA Committee;
2. Organise PNA Committee meetings;
3. Take minutes and action points at all PNA Committee meetings;
4. Take minutes and action points at all PNA meetings;
5. Type the minutes within one month of the PNA meeting and send draft to the Chairman for clearance;
6. Handle all correspondences both to and from PNA Committee, including disciplinary matters;
7. Circulate PNA meeting minutes and papers to all PNA Captains;
8. Circulate relevant England Netball information to Committee members and all PNA Captains;
9. Maintain PNA contact databases;
10. Update, maintain and publish the Constitution, Rules, Bye-laws as required;
11. Provide administrative support to PNA Committee members as and when appropriate and in line with work programme;
12. Ensure all paperwork is Portsmouth Netball branded;
13. Promote netball on social media;
14. Promote any regional events to Committee Members and Team Captains;
15. Prepare report for the AGM including issuing the relevant paper for within specified timescales;
16. Use the PNA website to promote general items of interest via notices;
17. Be responsible for monitoring and responding to communications received using the PNA Secretary email account.
