Committee T-V ToRs
Treasurer
Job Purpose
To maintain an overview of Portsmouth Netball Association financial affairs, ensuring its financial viability and ensuring that proper financial records and procedures are maintained.
Expected hours
Up to 2 hours a week plus Committee meetings 1 per quarter and up to 4 PNA meetings per year.
Responsibilities
1. Be a full voting member of the PNA Committee and in carrying out duties be at all times responsible to the PNA Committee;
2. Work together with the Committee on carrying out the PNA netball vision;
3. Be responsible for providing financial advice to the Chairperson and Committee;
4. Oversee the production of annual Accounts;
5. Contribute to the preparation of an annual budget;
6. Responsible for the PNA bank account;
7. Review financial accounts with the Chairperson on regular basis; the period between two reviews not to exceed 6 weeks;
8. Produce a working budget for PNA for the coming season to advise the committee;
9. Prepare annual report for the AGM;
10. Receive all monies from team captains with regards to fines, fees and other income;
11. To bank all monies in the PNA current or reserve account within 2 weeks of receipt;
12. To produce accurate ledgers of income and expenditure including all outstanding monies of court fees and fines for all PNA;
13. Pay all outstanding invoices within 2 weeks of receipt;
14. Reimburse Committee member expenses on receipt of claim;
15. Pay Committee members Honorarium in line with the PNA constitution;
16. Issue invoice reminders to team captains 2 weeks in advance of payment deadline;
17. Produce a written financial report for PNA meetings. If unable to attend, the report must be sent to the Secretary;
18. Participate in disciplinary meetings as required;
19. Use the PNA website to promote financial matters via the specific Treasurer webpage and notices;
20. Be responsible for monitoring and responding to communications received using the PNA treasurer email account.
Tournament Secretary
Job Purpose
To coordinate and provide tournaments for PNA.
Expected hours
Two to five hours a month plus Committee meetings 1 per quarter and up to 4 PNA meetings per year.
Responsibilities
1. Be a full voting member of the PNA Committee and in carrying out duties be at all times responsible to the PNA Committee;
2. Work together with the Committee on carrying out the PNA vision;
3. Overall management of the tournament competitions as agreed by the Committee;
4. Work with the Secretary to promote tournaments for PNA;
5. Produce a written report for PNA meetings. If unable to attend, the report must be sent to the Secretary;
6. Use the PNA website to promote tournaments via the specific tournament webpage and notices;
7. Participate in disciplinary meetings as required;
8. Be responsible for monitoring and responding to communications received using the PNA tournament email account.
9. Liaise with the Treasurer over fees, expenses and other finance matters.
Umpire Secretary
Job Purpose
To provide a strategic vision to the development of Netball officials for Portsmouth Netball Association. .
Expected hours
Two hours a week plus Committee meetings 1 per quarter and up to 4 PNA meetings per year.
Responsibilities
1. Be a full voting member of the PNA Committee and in carrying out duties be at all times responsible to the PNA Committee;
2. Work together with the Committee on carrying out the PNA vision;
3. Develop and implementing a strategy for supporting and developing umpires in the PNA league;
4. Maintain the database of umpiring assessments.
5. Provide information on new national standards;
6. Support and represent umpires, coaches and officials network across PNA;
7. Responsible for processes and structures for mentoring; tutoring; assessing and testing including working with County officials and the Committee to organise courses, workshops and forums as necessary;
8. Collect monies from all participants attending courses and pass to Treasurer;
9. Produce a written report for PNA meetings. If unable to attend, the report must be sent to the Secretary;
10. Participate in disciplinary meetings as required;
11. Use the PNA website to promote umpiring items of interest including upcoming courses/workshops/forums via the specific umpiring webpage and notices;
12. Be responsible for monitoring and responding to communications received using the PNA umpire email account.
13. Liaise with the Treasurer over fees, expenses and other finance matters.
Vice-Chairperson
Job Purpose
Work together with the Portsmouth Netball Association Committee Chairperson to manage and coordinate the Committee and its purpose.
Expected hour
Up to 2 hours a week plus Committee meetings 1 per quarter and up to 4 PNA meetings a year.
Responsibilities
1. Be a full voting member of the PNA Committee and in carrying out duties be at all times responsible to the. PNA Committee;
2. Work together with the Committee Chairperson on carrying out the PNA vision;
3. Understand the responsibilities of the Committee Chairperson and be able to perform these duties in the Chairperson‘s absence;
4. Support the Chairperson, and undertake whatever part of the Chairperson‘s work assigned;
5. Have the power to attend any sub-committee meeting in the absence of the Chairperson ;
6. Assist the Chairperson in the preparation of Annual Report for submission at the PNA AGM;
7. Be the initial contact point for all disciplinary matters;
8. Chair disciplinary meetings as required;
9. Produce a written report for PNA meetings. If unable to attend, the report must be sent to the Secretary;
10. Use the PNA website to promote items of interest via the notices;
11. Be responsible for monitoring and responding to communications received using the PNA vice Chairperson email account.
